2. The Information Regulator's guide
The Information Regulator publishes a guide on how to use PAIA and POPIA (PAIA section 10). It is available in the official languages from the Regulator: inforegulator.org.za.
3. Records we hold

Records available without a request: our Terms of Service, Privacy Policy and the other policies on our website.
4. Processing of personal information (POPIA)
- Purposes: to provide AI tutoring and study tools, manage accounts and payments, keep the service secure, and meet legal obligations.
- Categories of data subjects and information:
- learners: identity and contact details, birth month, learning profile, uploaded content, lessons and learning insights;
- parents and guardians: name, email and consent records;
- customers: payment references;
- suppliers: contact and contract details.
- Recipients: our operators (AI provider, hosting, payments, email), as listed in our Privacy Policy, and authorities where the law requires it.
- Cross-border transfers: to our AI provider in the USA, under POPIA section 72 (see the Privacy Policy).
- Security measures: see section 7 of the Privacy Policy.
5. How to request access to a record
- Complete the prescribed request form (Form 2), available from the Information Regulator's website or from us.
- Send it to our Information Officer at hello@qondi.co.za, or by post to the address in the table above.
- You may have to pay the prescribed request and access fees. Requests for your own personal information are free.
- We will decide within 30 days (which can be extended once by up to 30 days, with notice) and tell you our decision and the reasons for it.
Access may be refused on the grounds set out in Chapter 4 of Part 3 of PAIA. For example, to protect someone else's privacy or commercial information. If you're unhappy with our decision, you may complain to the Information Regulator or apply to court.
